The AUSA Redstone-Huntsville Chapter announces availability of hotel rooms for Corporate Members in Redstone-Huntsville Convention Hotel 

 

The following provides information regarding your AUSA Redstone–Huntsville Chapter accommodations and scheduled activities at the AUSA Annual Meeting, 13-15 October, 2014.  All Chapter lodging will again be at the Embassy Suites Hotel, 900 10th Street, Washington, D.C. 20001.

LODGING: Redstone-Huntsville Corporate Member companies may reserve five (5) rooms by following the Annual Meeting lodging link at www.ausaredstone.org to fill out the online reservation form.  The individual room rate is $305/night + Tax.  All rooms are suites, with one king or two queens, plus a sofa bed.  Smoking rooms may be available.  You must cancel by 3 PM at least 72 hours prior to your reservation to avoid the loss of your deposit – please see the new cancellation policy below.

Each Redstone-Huntsville Corporate Member company may ask for five rooms.  Room requests will be filled on a first-come first-served basis, once the room sponsor contribution (see additional information below) is received. On July 25^th – the five room restriction WILL BE lifted and companies may acquire as many rooms as available.

WAIT LIST: If there are additional rooms available – a wait list will be open for submission of names.  Rooms may be requested and may be provided if available; however, you are strongly advised to make alternate plans for additional rooms as we may not be able to honor requests.

Our room list and any remaining rooms MUST be turned over to AUSA National on 29 August.  Confirmation numbers will be provided the week of 6 October.  After your confirmation is received, YOUR CHAPTER IS OUT OF THE LODGING BUSINESS for this year and any transactions regarding lodging, after confirmation numbers are received, must be done directly with the hotel.  Embassy Suites phone number is 202-739-2001.

**CANCELLATION POLICY** (per AUSA National & The Embassy Suites):  All reservations require an advance deposit of one (1) night’s room and tax at the time of booking. Deposits are fully refundable for cancellations made by 3 PM at least 72 hours prior to your reservation. The deposit is not refundable for cancellations made later. Departures prior to the departure date confirmed by the hotel at check-in will result in a charge.

A Room Sponsor contribution IS REQUIRED for each Corporate Member room in the Chapter Hotel(s).  The sponsorship contribution is set at $150 per room payable to “AUSA Redstone-Huntsville.” This sponsorship helps to cover expenses associated with operating the Hospitality Suite. For example – for a Corporate Member company that has reserved two rooms, the Hospitality Suite Corporate Sponsor contribution would be $300. Payment must be made at the time of reservation. Reservations will NOT be submitted to AUSA National without hospitality payment. Payment can be made by check or be made at www.ausaredtone.org.

NOTE:  You will NOT receive your confirmation number until your Room Sponsor contribution is paid in full and confirmation numbers have been issued by the hotel.

BREAKFAST:  A full breakfast is provided by the hotel for Embassy Suites guests.

LUNCH:  On your own.

EVENINGS:  Please join us in your Chapter’s hospitality suite on Sunday night (Chapter members only) and Tuesday night (Open House), and at our HOOAH Tent at the Army Ten-Miler on Sunday.  This is an abbreviated schedule when compared to previous years.  Additional Chapter events may be announced at a future date.  Chapter members plan to gather each night at the Manager’s Reception provided for Embassy Suites guests.

BADGES:  Bill Stevenson will handle Chapter Member registration and badges.  If you want a badge to be available at the Embassy Suites, contact Bill at (256) 424-1334, or email William.w.stevenson4.ctr@mail.mil. Chapter badging ends on 19 September; after 19 September you must contact AUSA National for registration and a badge.  Please have your information to Bill NO LATER THAN 17 September to ensure your information is included in the Chapter’s badging submission.

TICKETS:  Tickets for the various AUSA Annual Meeting events are available for purchase through the AUSA National website, www.ausa.org.
