Set-up will begin at 7:30 a.m.

Orientation will begin at 8:30 a.m.


Thank you for being a session leader! Please review the following information and register so that we can best serve your needs.


Important Information

You will be the point of contact for your presentation.  From time-to-time we may send you messages, request additional information, or alert you to a deadline.  Please honor deadlines.

You and all those assisting you MUST register as volunteers.  Alabama State law requires that all adults involved with an event for minor children must read and accept the UAH Child Protection Policy. Please read the policy prior to registering. On the registration form there is a box to mark indicating that you have read, reviewed, and agreed to the policy, please mark once you have done so.  Anyone who is not registered cannot be allowed in the building while the event is underway.  

All volunteers must register by October 17.

Rooms

Please think carefully about the type of space you will need.  Do you need outdoor access?  A projector and screen?  Internet connection? Water? Desks and chairs or an empty space?  We will do our best to accommodate you. Rooms and spaces are limited so we will do the best with what we have available. Day-of changes are impossible so please consider space carefully. We will be happy to provide a tour to help you decide.

We have a limited number of projectors and screens. Please request a projector only if you are certain you need it.

If you need a computer, please bring your own laptop.  We will have a technician available for assistance.  Plan to arrive early so there is enough time to accommodate all requests.

Classroom set up is your responsibility.  We ask that if you move the furniture in your room, you return it to its original layout when finished.

Supplies

You are responsible for determining what workshop materials you will need. If your organization cannot provide the materials you need, we can order them for you; however, we must have a complete, detailed list no later than Monday, October 15.  "Detailed" means number of and size of containers (e.g. 12 oz., 16 oz., gallon), preferred brand, if applicable; size of item (e.g. -- instead of "marshmallows," tell us 16 oz. bag of mini-marshmallows).  If you need components for an experiment that must be ordered from a scientific supply company or specialty catalog, please tell us the vendor web site and the item number you seek. We cannot order at the last minute.

If you are an university employee or student and prefer to gather your own materials, we can reimburse you.  If you represent a non-university organization, we cannot reimburse items that you personally purchase, instead, we must order and pay for them for you.

Information for Day of Event

Presenters and volunteers must check in on Saturday, November 3 between 7:30 a.m. and 9:00 a.m. This will give you time to navigate the traffic and get your area set-up before participant check-in begins at 9:00 a.m. Friends and others who are helping you move in and then leaving, do not need to register as volunteers but must vacate the premises by 9:00 a.m.

Please check in at the Girls' Science and Engineering Day designated volunteer "office" on the first floor of the Shelby Center for Science and Technology (signs will be posted).  This is where you will be given your credentials, room assignment, and supplies.

We are serving a box lunch at 11:50 a.m.  We will also provide water and snacks for your team in the classroom.

The closest parking lot is the Intermodal Parking Facility (building IMF #16 on the campus map), a short walk across the campus to the Shelby Center. For a campus map, click here.  A loading dock is available on the north side of Shelby Center.  You can drop off your materials, however, you must park your car in an approved parking space.  Failure to do so, may result in a parking ticket.
