VOLUNTEERING FOR GPPA

We meed volunteer help before and at the event. Our immediate need is for volunteers to help us plan, market, and prepare for the cookout. Please don't hesitate to contact us for more information about a particular volunteer opportuinity.

PRE-EVENT VOLUNTEER OPPORTUNITIES

We need pre-event volunteers to help in the following areas:

Marketing - Assist in the development and distribution of marketing collateral including press releases, posters, and postcards

Prize Patrol - Assist in obtaining donations of items and services from local businesses and individuals for the event's Reward Sacks, Bit Raffle, and Passport Drawing.  

Coordination and Preparation - Work with exhibitors and other volunteers to coordinate preparations for the event.

EVENT VOLUNTEER OPPORTUNITIES

The day of the event we will need volunteers to assist in the following areas:

Setup - Assist in preparing the site, setting up tables, assisting exhibitors, etc.

Greeters & Ticket Collection - Help arriving guests, sell and collect tickets and distribute event programs/

Guest Services - Provide a smiling face and assistance for cookout guests.

EXHIBITORS

Exhibitiors are an essential part of the cookout. Indivisuals who will staff exhibits for their organizations should register for the event. A representative from GPPA is a assigned to work closely with exhibitors before and during the event.

INFORMATION ABOUT EXHIBITING

The following information is provided to assist exhibitors.

Where is the exhibit area? The exhibit area is at the Headquarter Cookout site at MacDonalds, near the main parking lot, on the west side of N. Scottsdale Road.

Is there a fee for exhibiting? There is no fee for nonprofits and a $75 fee for for-profits

What does GPPA provide? If needed, each exhibitor is provided with a complimentary 12' table and two chairs at the exhibit area.

What about parking? Parking is free. Exhibitors should park in the lot adjacent to the cookout site, near the main office. GPPA will have a volunteer in the parking lot providing directions and assisteing exhibitors unload exhibit supplies.

When must exhibitors setup and staff their exhibits? Setup should begin by 2 PM and be completed by 2:45 PM. Exhibits should remain in place until 6 PM. when the main program begins.

What about electricity and other special needs? Electrical outlets are available at some exhibit locations. Bring an extension cord, if needed. If special placement is needed, such as shade for animals, let GPPA know at least a week before the event. There is a place in the registration form to indicate your special needs.

What about food and beverages? Volunteers who have registered and are working an exhibit recieve complimentary admission and can enjoy all the exhibits, games, and entertainment for free. Food and beverages will be available at the cookout site.

Can political campaign information be distributed at the event? No. GPPA is a 501 c (3) nonprofit charity and cannot participate in political activity. In addition, the event is intended to be a family-oriented community event and campaign literature or presentations are out-of-place.

The first step in becoming an exhibitor is to Register Now. If several people are registering for your organization, please indicated who is the primary contact in the registration form.
