2016 Michigan Rural Health Conference

Thank you for your interest in exhibiting at the 2016 Michigan Rural Health conference. Exhibitor space has reached FULL capacity.

Sponsorship opportunities are still available and include registration for one conference representative. Additional conference representatives may be registered at a cost of $100/person. Please sponsor information below. 

SPONSORS

  • Organization's name, contact information, and bried description of your organization is listed in the Exhibitor/Sponsor booklet included in each participant's notebook 
  • Organization will receive a one-page ad in the Exhibitor Booklet at no additional charge 
  • Organization's name/logo and sponsorship prominently displayed in the conferfence PowerPoint 
  • Attendance at all sessions at no additional cost 
  • List of attendees includes name, organization, and email address one week prior to the conference 

SPONSORSHIP OPPORTUNITIES 

A variety of sponsorship opportunities are available for your organization at the conference. 

  • Reception Beverage Sponsor - Each conference participant is invited to a reception Thursday evening. Representative(s) from your organization will have the opportunity to hand out drink tickets and greet attendees at the reception or tickets may be placed in each attendees name badge. 
  • Lanyard Sponsor - Your company name and/or logo will be exclusively advertised on lanyards, which each conference participant will receive at registration. Lanyards are provided by the company and must be given to MCRH staff prior to the conference registration. 
  • Tote Bag Sponsor - Your company name and/or logo will be exclusively advertised on the tote bags, which each conference participant will receive at registration. Tote Bags are provided by the company and must be given to MCRH staff prior to the conference registration. 
  • Sponsorships of General and/or Topic Sessions - Organizations may choose to sponsor a session for the conference. This sponsorship is prominently identified on the final agenda provided to each participant. In addition, a company representative will be given the opportunity to introduce the speaker. We as the bags be grocery style with the dimensions of 14 1/2 " x 13" x 10". 
  • Sponsorship of Continental Breakfast, Lunch, and Breaks - Organizations may choose to sponsor breakfast, a break, or lunch for the conference. Organizations may choose to sponsor the full break, lunch or a portion of it. This sponsorship is prominently identified on the final agenda provided to each participant. 
  • Advertisements - Companies can choose to include a full-page, portrait-style , black and white advertisement in the Exhibitor/Sponsor Booklet measuring 7 1/2 x 10 inches of useable space. Ads need to be emailed to Sara Wright - no later than March 18, 2016 in a jpeg, gif, or Word format.

Lodging

All representatives from each organization are responsible for his or her hotel reservations. Please review all hotel information:  When making your reservation, ask for the RURAL HEALTH CONFERENCE block of rooms.  Room rates are $110.00 per room per night plus taxes. EXHIBITORS

EXHIBIT FEE & REGISTRATION INFORMATION

The exhibit fee is *$650 per 6-foot skirted table. (Please make sure the size of your exhibit material can be accomodated on the table. Any exhibits that do not confirm to size may be rejected at the option of Michigan Center for Rural Health.) Please indicate if electrical access is neccesary on the Registration Form. Michigan Center for Rural Health staff will assign the table space as needed on Thursday, April 21st.

All breaks and the continental breakfast will be located in the main exhibit area to ensure maximum traffic to display areas. Exhibitors are invited and encouraged to attend all sessions and meals. Registration for sessions is NOT required. 

Each exhibitor will be entitled two representatives per booth. Exhibitors are required to register booth personnel in advanced on the registration form. Any additional representatives will be charged $100.00 per indivdual. 

*$100.00 dollars of this fee goes to the Rural Michigan OsteoCHAMPS Scholarship Program. The Rural Michigan OsteoCHAMPS Scholarship Program is an innovative pre-college enrichment program to help capable young high school students pursue careers in nursing, alled health, and medicine. The student spends nine days in a structured environment on the campus of Michigan State University. In addition to improving their knowledge of science, they enhance their study skills, increase motivation and develop leadership qualities. Now in its 16th year, nearly all OsteoCHAMPS alumni attend college and most have chosen a health career. In combination with the Annual Rural Health Conference it is our intent, with your assistance to provide five full scholarships to rural high school students to attend each summer. We appreciate the continued support.

  • 7:00- 8:15 a.m.  Registration and Continental Breakfast with Exhibitors  
  • 10:30- 11:00 a.m.  Morning Break and Visit with Exhibitors
  • 12:00-1:00 p.m. Lunch Exhibitors/ Sponsors Welcome
  • 2:45-3:15 p.m.  Afternoon Break and Visit with Exhibitors
  • 5:15-6:30 p.m. Rural County Fair and Reception 
Friday, April 22nd
  • 7:00 - 11:15 a.m. Continental Breakfast with Exhibitors
  • 10:00-10:30 a.m. Morning Break and Visit with Exhibitors 

EXHIBIT SET-UP & DISMANTLING 

Set-up times:  (Estimated Times) April 20, 2016 from 5:00-7:00 p.m. (doors will be locked at 7:00 p.m.) and April 21, 2016 from 6:45- 7:15 a.m. Exhibits must be set up by 7:15 a.m. 

Dismantling: Friday, April 22, 2016 after 10:30 a.m.

EXHIBITOR/ SPONSOR DRAWING

There will be an Exhibitor Drawing that will be held on Friday. Each conference participant will be given a Signature Sheet to obtain signatures from each table they visit in the Exhibitor area. Conference participants who visit each exhibitor are then eligible for the drawing. Winners will be prominently displayed in the Exhibitor area with the name of the gift from the exhibitor/sponsor.  Each winner will need to visit the  exhibitor table to pick up their gift during the last break on Friday Morning. 

Each exhibitor is required to bring a small gift that could be mailed (if neccesary). Please indicate your item to be donated on the Exhibitor registration form. Suggested items include: gift cards, sports tickets, small electronic devices, etc. Please do not bring gift baskets due to the difficulty of transporting them. The exhibitor drawing card encourages participants to stop by each table. Please plan on being at your table during the exhibit hours. 

ACCEPTANCE OF EXHIBIT APPLICATION

Applications for exhibit space are subject to review by the Exhibit Committee to determine suitability for the conference and to ensure conformity with the conference standards. 

ASSIGNMENT OF SPACE 

Applications will be approved based upon the order in which the applications are received with accompanying payment. No approvals will be made until payment is received via check or credit card. Exhibitor space assignments will be done on a first-come, first-served basis until all tables have been assigned on Thursday, April 21st. 

PAYMENT AND CANCELLATIONS 

Applications for exhibit space must be accompanied with the exhibit fee in order to confirm booth assignment. No application will be processed without this fee. No refunds will be made for space that is not utilized during the conference.
